Admistrative Assistant (Finance & HR)

Location: San Juan metro area, Puerto Rico 

This role provides administrative and clerical support to the Human Resources and Finance departments of a well established multi-location retail organization in Puerto Rico.

Key responsibilities include:

• Serve as front-line support for the office: answering calls, greeting visitors, and coordinating courier and mailroom services.
  
• Manage office supplies, equipment, and vendor coordination (printer, supplies, general office needs).
  
• Maintain and organize HR records and files, including sensitive and confidential documentation.
  
• Support onboarding logistics, including preparing and distributing new-hire packets to store locations.
  
• Coordinate communication and documentation flow between the Support Center and store locations.
  
• Assist with recurring HR processes such as employee recognition, file audits, and recordkeeping (including I-9 compliance).
  
• Support Finance with document processing tasks such as check preparation, invoice filing, and courier reconciliation.
  
• Maintain organized, accurate filing systems for financial and HR documentation.
  

Requirements

• 1 to 2 years of administrative work experience.
  
• Proficiency with MS Office tools.
  
• Strong attention to detail and organizational skills.
  
• Ability to manage multiple priorities and work efficiently.
  
• Strong verbal and written communication skills.
  
• Active listening and critical thinking skills.
